Begin with the dependencies
Two purchases agreed on the same day can progress very differently. Identify the steps that depend on something else: finance may need a valuation, a representative may need a suitable power, and a title issue may need documentation before the deed can be prepared. Ask each person involved what they need from you and what they must receive from someone else. Turn those answers into a shared working schedule. Keep the timetable flexible until the parties responsible for the essential steps confirm their readiness.
Run checks and finance in parallel
While documents are being reviewed, prepare your lender’s identification and financial evidence and organise any technical inspection. Track the status of each item as requested, received, reviewed or resolved. Distinguish an initial borrowing discussion from the formal offer stage. Banco de España describes the pre-contractual mortgage information and prior notarial process; allow for the applicable requirements rather than planning both around an inflexible travel booking.
Set a decision point before signing
Create a short readiness checklist for the planned completion. It should confirm the agreed deed draft, parties or representatives, funds, payment method, remaining seller obligations and possession arrangements. Mark any unresolved matter explicitly and decide who can authorise a change to the plan. A scheduled notary appointment is a coordination milestone, not evidence that every due diligence concern has been resolved.

Include the work after the keys
The calendar should continue through tax formalities, registry follow-up, utilities and the collection of final documents. Give each task an owner and ask for completion evidence. If a delay affects a contractual deadline, obtain advice while there is still time to discuss a written change. Maintain a dated log of outstanding questions, decisions and communications; it is more useful than relying on scattered messages across several conversations.
